BASIC REQUIREMENTS OF BILL OF LADING AUDIT
The bill of lading (B/L) is a document that serves as a receipt of goods as well as contracts that prove the terms and conditions of a transportation contract between the shipper and carrier. Bills of lading are crucial documents used in international trade, and it is critical for any logistics-related company to audit these documents to make sure that the B/L is accurate and up-to-date.
If not properly audited, the results could be disastrous. When the B/L is not accurate or outdated, major conflicts can occur. A Bill of Lading audit is essential for any business prosperity and success.
The basic requirements for a B/L audit start with having qualified personnel with comprehensive knowledge in international logistics protocol and practices. A person that understands the variety of documents needed, their purpose and the specific regulations related to each document is a must have. Having the specific details related to commodity proper classification, incoterms, letters of credit, etc., is necessary so the team can interpret any additional information that might appear in the B/L.
The auditor should also be knowledgeable in research and ability to review information to be able to identify any discrepancies or irregularities in the documents associated with the shipment. Some of these documents that need to be cross checked are the Master BoL, Booking Confirmation, Shipping Instructions and Commercial Invoice.
The auditor should also be able to identify and manage the business risk by properly evaluating the contents of the documents and data associated with the shipment and relate the findings to the existing risk controls and procedures. He should have the ability to determine the accuracy and validity of information, assess the impact to the business process and provide recommendations to improve and/or update procedures.
Furthermore, he needs to be up-to-date with the customs regulations and laws, as well as be able to identify and recommend appropriate country, local and international regulations, so they can be applied to the shipment.
Another important skill that a B/L Auditor needs is to have understanding of preparation of export and import documents and the ability to review and analyze these documents. This includes the ability to correctly identify customs requirements from the country of origin, country of destination and transit countries.
Finally, communication is key for any auditor. The auditor should have strong verbal and written communication skills, including the ability to communicate complex and sensitive topics in a concise and professional manner when dealing with customers and company personnel.
Auditing a B/L is not a simple task, as it requires skilled people who can properly interpret and analyze a variety of documents and regulations. The simple task of not having a qualified person or properly trained one can result in terrible mistakes in the process, leading to failure in the shipment, legal risks, and potential hazards to the business. Having a qualified B/L auditor is the key to success in the international logistics business.
